CallMatrix Terms & Conditions – Last updated: 10 August 2026

These terms cover CallMatrix, the AI phone and booking assistant supplied by Bronx Web NZ (Hamilton). They're separate from Bronx Web's general website build terms. By starting a trial or signing up, you're agreeing to this.

We've written this in plain English on purpose. If anything's unclear, email admin@bronxweb.nz and ask before you sign up.

1. What CallMatrix Is

CallMatrix is an AI assistant that answers your business phone when you divert your line to it. It talks to callers, books jobs into your diary where it can, and sends job details through to your mobile.

It's a tool, not a guarantee every enquiry turns into a job. It introduces itself as an automated assistant, not a person.

2. Your Free 14-Day Trial & Job Guarantee

Cost during the trial: $0. No card taken upfront, no invoice during the 14 days.

The trial runs 14 days from the day your line goes live on CallMatrix.

Minutes included: 100 call minutes over the 14 days, which is the 200 a month plan rate for half a month. If your calls run past that, we'll talk to you about it rather than quietly stop answering. Hitting the cap never counts against your guarantee, because the calls CallMatrix didn't get to answer aren't your fault.

The guarantee: if CallMatrix doesn't get you at least 3 booked jobs by day 14, the $460 + GST setup fee is waived. You walk away owing nothing, no contract, one claim per business.

What counts as a booked job

A booked job is a one-off inbound call to your business number, received by CallMatrix while your line was diverted to it (not one you answered yourself), from someone who isn't already one of your customers, where CallMatrix collects a name, a contact number, a job location, and either:

The same caller ringing more than once about the same job counts once, not twice.

What doesn't count

Claiming the guarantee

To claim, you need to have:

CallMatrix can't book calls it never received. A shorter divert period means the guarantee doesn't apply, but you still owe nothing and can still walk away.

Every booked job lands in your job log as it happens, so you can check the count yourself as you go.

3. Price After Your Trial

Nothing happens automatically at the end of your trial. Because no card is taken upfront, you need to give us your payment details to keep going. If we don't hear from you, your line simply stops being answered by CallMatrix and you're not charged anything.

If you keep going after the trial:

Invoiced monthly. Prices are in NZD and exclude GST unless stated otherwise.

4. Cancelling — No Lock-In

No lock-in contract. Once you're past the trial, you can cancel any time with one month's notice by emailing admin@bronxweb.nz.

You'll be billed for that final month. The setup fee isn't refunded once your line has gone live and CallMatrix has been built and tested for your business, unless you're cancelling under the trial guarantee.

5. Your Call Data & Privacy

When someone calls your CallMatrix number, we collect what the caller tells the assistant (name, contact number, job details, and what they're after), plus a recording and transcript of the call.

What we do with it:

How long we keep it: we don't hold onto call recordings and transcripts longer than we need to run your service. You can ask us to delete a specific call's recording or transcript at any time, and we will, unless we're required to keep something longer by law.

Your responsibilities: your customers are calling your business. If you're required to have your own customer-facing privacy notice, that's on you to sort, we're handling the data as your service provider under the Privacy Act 2020.

If something goes wrong: if there's a privacy breach that's likely to cause someone harm, we'll tell you and, where the law requires it, notify the Privacy Commissioner, in line with the Privacy Act 2020's mandatory breach reporting.

6. If Something Goes Wrong

Downtime: CallMatrix depends on third-party phone and AI infrastructure we don't fully control. We can't promise 100% uptime, even though it's built to answer around the clock. If CallMatrix is down for more than 24 hours straight because of a fault on our end, tell us and we'll extend your trial by that many days, or credit your account 1/30th of your monthly fee for each full day down, whichever applies. That's the extent of what we owe for downtime, we're not liable for jobs or income lost outside that.

The AI gets something wrong: if CallMatrix mishandles a call, drops details, or misses something it should have caught, tell us and send us the call reference. We'll review the recording and fix the script or setup. If it happened during your trial because of an error on our side, it won't be held against you for the 3-job count.

7. What We Need From You

CallMatrix is supplied for business use. To the extent the law allows, the Consumer Guarantees Act 1993 doesn't apply to this agreement. The Fair Trading Act 1986 still applies, that can't be contracted out of.

Beyond that:

9. Disputes

If you think we've miscounted jobs during your trial, or you disagree with an invoice, email admin@bronxweb.nz within 14 days with what you think is wrong. We'll go through the call log with you together.

If we can't sort it out directly, either of us can take it to mediation or the Disputes Tribunal before it goes anywhere near a courtroom. In practice, most of this gets sorted by looking at the call log.

10. Changes to These Terms

We can update these terms as CallMatrix changes. If something material changes, we'll email you. Keep using the service after that and you've accepted the update.

11. Governing Law

These terms are governed by the laws of New Zealand. Any disputes are subject to the non-exclusive jurisdiction of the courts in Hamilton, New Zealand.
